FAQ on HKU Event Management System (HKUEMS)

HKUEMS supports Microsoft Internet Explorer version 6.0 and 7.0. Other browsers may display events on HKUEMS but registering into events or updating event details will not be accurate.

3 navigation paths:

1. Login HKU Portal => Events tab => check Today's Events. Click the HKUEMS icon to view full list of events.

• HKU staff/students with login to HKU Portal can see events that are targeted for HKU members in additional to those for public.

2. Check Today's Events and Coming Events from HKU homepage.
3. Check Weekly Notice for Media maintained by Communications and Public Affairs Office.

HKU staff/students with login to HKU Portal can see events that are targeted for HKU members in additional to those for public.

Departments need to submit the application form CF-148a "Application for Event Manager Account in HKU Event Management System (HKUEMS) - For Staff Only" available at http://www.itservices.hku.hk/home/services/forms.htm to apply for an event manager account before posting events on HKUEMS.

Student societies need to submit the application form CF-148b "Application for Event Manager Account in HKU Event Management System (HKUEMS) - For Student Societies Only" available at http://www.itservices.hku.hk/home/services/forms.htm to apply for an event manager account before posting events on HKUEMS.

With the event manager account, loin HKU Portal => Events tab => HKUEMS icon => Manager tab in the pop-up HKUEMS windows => Create New Event on the left-hand menu.

HKU internal and public events will be displayed on HKU Portal immediately after being posted on HKUEMS.

Public events will be displayed on HKU homepage 1 hour after being posted on HKUEMS.

Public events which are submitted to "Weekly Notice for Media" will be posted on Friday afternoon. (Check ERO's "Weekly Notice for Media" web site for details.)

If you make use of the "Event URLs" specific for your department's events, events will be shown on these URLs immediately after they are posted.

Yes, HKUEMS supports multi-lingual contents with Unicode, which is supported in most up-to-date browsers.

Although HKUEMS can send out multi-lingual emails, some older email clients do not support Unicode. Therefore, it is always a good idea to include an English version in email contents.

If your event requires online registration on HKUEMS, it is a good idea to include English description in the "Event Title" because HKUEMS will include the event title in the email acknowledgement to your registrants.

You can show your department's public events by using the URLs found in HKUEMS. You can get the URLs by login HKU Portal => Events tab => HKUEMS icon => Manager tab => Event URLs on the left-hand menu.

Internal events for HKU members must be viewed by HKU members since a process of login to HKU Portal is required to identify the user.

HKUEMS cannot identify them and they will be treated as guests.

Under Manager tab of HKUEMS => Manage active events. Click the Enrollers icon to get the registration list. Select the guest and change the status to Disapprove.
