Bulk E-mail Delivery Service Enhancement 



Introduction
The Computer Centre provides the bulk e-mail service for University departments (including centres, units and student societies) to send departmental notices to staff and students through e-mail. 

Departments can designate one or more staff members to be the department's bulk e-mail submitter who will submit the departmental notices using the Bulk E-mail Submission System of the "Intranet Systems for Staff".

With effect from 1 March 2002, an enhancement will be introduced in the Bulk E-mail Submission System so that departments can classify their messages to be distributed as either important notices or general notices.  (The default is general notice).

Categories of bulk e-mail notices are:
  • Important notices contain important information that should be read by all recipients. Bulk e-mail of important notices will be sent to all of the designated recipients. 
  • General notices are those that may be of general interest to members of the University. E-mail recipients can select to receive or not to receive general notices from any department.
  • University members can selectively receive a department's general notices
    A staff or student can select to receive or not to receive the general notices of any departments through the "Intranet Systems for Staff" or the "Intranet System for Students", respectively. 

    Please note that the important notices from a department will be delivered to a user even if he/she has selected not to receive the general notices of the same department.

    Steps for selecting the departments' bulk e-mail of general notices to be received or not are summarized below. (For details, please refer to the user document Procedure for controlling delivery of bulk e-mail for departmental general notices.)

    => click the "Intranet Systems for Staff" icon => click the "Intranet Systems for Students" icon
    => login using your UIS account => login using your HKUSUA account
    => click the "Computer Centre" icon => click the "Computer Centre" icon
    => click the hyperlink "Departmental General Notice Delivery Control" => click the hyperlink "Departmental General Notice Delivery Control"
    => select the names of the departments and click the arrow button to move them between the receive-list and the not-receive-list => select the names of the departments and click the arrow button to move them between the receive-list and the not-receive-list
     
    Note to departments' bulk e-mail submitters
    Starting from 1 March 2002 when the bulk e-mail service enhancement is effected, bulk e-mail submitters can designate a bulk e-mail notice to be either a general notice or an important notice as discussed in the Introduction section. 

    In order to avoid transcribing errors and to streamline the automated process for disseminating departmental bulk e-mail notices, all requests of sending bulk e-mail by a department must be submitted through the Bulk E-mail Submission System of the "Intranet Systems for Staff".  When the enhanced bulk e-mail delivery service is put into service, the Computer Centre will not act on behalf of a department to submit its requests of sending bulk e-mail under normal circumstances.
